System Setup - Essential Features

1. Access & Initial Login

✔ Login via HPOS web (app.hpos.co.zw)
✔ Confirm access to main dashboard after login

2. Dashboard Orientation

• Overview of Sales & Purchases

• Top-selling products and analytics
  ✔ Key menus & dashboard widgets

3. Settings

Manage your system through your settings:

• Overview of Company Settings (Admin)

✔ Set the invoice settings - activate fiscalization

✔ Set prefix, prefix length and seed number

✔ Add logo

• Users & Permissions (Admin)

  ✔ Assign roles & permissions
  ✔ Define access levels for Sales, Inventory, Reports

✔ Add office shifts

✔ Add / remove users

• Add Branches (Admin)

✔ Add branch details

✔ Add fiscalization API Keys if they are fiscalizing

• Add Payment Methods (Admin)

  ✔ Add payment method

✔ Activate payment method

✔ Make reference field mandatory (i.e. for Swipe/Bank Transfer)

• Add Taxes & Levies (Admin)

✔ Add tax rates and levies that apply to your products to be applied on sales (i.e. VAT 15.5% OR Fast food levy 2%)

• Add Currencies & Exchange Rates (Admin)

✔ Add Currencies

✔ USD is the default system currency and any currency added after should have an exchange rate to the dollar

4. Customers & Suppliers

✔ Add new customers & suppliers
✔ Enter the name, TIN/VAT, contact details & address info

✔ Bulk upload of discount rates for specific customers
✔ View transaction history & balances
✔ Manage outstanding payments, credit info and points

5. Purchase Processing

✔ Create Purchase Orders from suppliers
• Select supplier
• Add items and cost/expected delivery
• Save and process order

✔ Monitor Purchase order status
✔ Process purchase returns if needed

6. Inventory & Products

✔ Add new products with product code, pricing, category
✔ Set stock quantity and reorder points
✔ Perform manual stock adjustments
✔ Monitor stock levels via reports
✔ View top-selling products

7. Sales Management

✔ Create a new Sale Order
• Select/enter customer
• Choose products & quantities
• Apply price/discounts if needed
• Complete and process payment

✔ Track sale orders & statuses (Completed, Pending, etc.)
✔ Process returns through Sales Returns module

8. Reports & Analytics

✔ Sales performance reports (daily, monthly, yearly)
✔ Inventory movement and stock reports
✔ Export reports to PDF or Excel
✔ Use filters to customize views

9. Updates & Maintenance (Device Users)

✔ How to update / reinstall the HPOS app on hardware
• Perform update steps (shown in device documentation)
