Fiscalising a Credit Note in Sage Evolution
Overview
Sage 200 Evolution is an Enterprise Resource Planning (ERP) software system designed to help businesses manage various aspects of their operations, including finance, customer relationships, and supplier relationships. It goes beyond traditional accounting software, offering a range of features and add-on modules to support different business needs.
Prerequisites
• For you to create a credit note, you need to have an invoice with an outstanding payment or a customer’s account with a credit balance.
• The correct user role is needed to create and approve credit notes.
Step-by-step Process
Step 1. Creating Credit Note
- In the Sage Evolution Application, you will create the Credit Note.
- Click on the ‘Transactions’ tab at the top of the application.
- In the drop-down, select the ‘Inventory’ option.
- Select the ‘Credit Note’ option.

- A new credit note window will pop up for editing as shown below.

- You will now populate the ‘Order’ and ‘Document’ section.
- Insert the ‘Order Number’ under the ‘Order’ section.
- Insert the ‘Invoice Number’ under the ‘Document’ section.
- The ‘Invoice Number’ should match the ‘Invoice Number’ in the fiscalised invoice

- In the ‘Document’ section, if you click on the ‘Cancel Reason’ field, you will select the most suitable reason that describes the Credit Note.
Make sure that all three fields have been populated as shown below to avoid errors when processing the credit note.

- You will now select the client you want to create a credit note for.
- Navigate to the ‘Customer’ field and click on it.
- A dropdown menu will appear showing your client list.
- Select the client you invoiced for.


- The credit note line will automatically appear & the customer’s details will automatically be populated. The customer’s address will now appear.

- You can now populate the credit note fields with data.
- You will be able to choose the product item you want to add to the invoice in the ‘Item’ field.
- Products will appear in the drop-down menu.
- Please note that products will appear on the ‘Item’ drop-down menu only if you have already saved the product details within the system itself before invoicing.

- An item description will be added in the ‘Description’ field. This is where you will enter the suitable product description to identify the product. You can populate the ‘Price,’ ‘Cost,’ and ‘Tax Type’ fields.

- Once done, the credit note details will appear.

- Enter the credit note ‘Description’ field. This will simply describe the nature of your credit note.

Step 2. Process and Fiscalise Credit Note
- You will then process the credit note.
- Click the ‘Process’ button at the top to process your credit note.

- Once the credit note has been processed, click on "Print" to print the document as PDF.
- A pop-up message will appear asking you if you would like to print the credit note document.
- Click on ‘Yes’.

- An allocation pop-up message will appear.
- You will have to select whether you want to allocate the credit note or to not do so.
- In this case, you will not be allocating it, so select the ‘No’ option.

- In your taskbar, the file explorer icon will turn orange/amber to show that your invoice has been downloaded to your files.
- Click on the file explorer icon to access your invoice.
- The folder with your invoices will appear.

- The invoice you have fiscalised will appear as highlighted, as shown below.
- Double-click on it to view it.

- The fiscalised credit note should open.
- The credit note will show both your seller details on the left side and the buyer details on the right.
- The credit note will also show your fiscal device details and the date and time when you also fiscalised the credit note.
- The product details will also appear.

You have successfully fiscalised your credit note in Sage Evolution.
